We know – transitioning to a new EMR and Practice Management system has long been every owner’s worst nightmare. Our goal from the start has been to create a process in which owners and their staff can be as close to hands off as possible. In order to do so, we focused on three key areas – Data Transfer Technology, Training and Support, and Task Management
Data Transfer Technology
We first had to figure out if there was a way to pull EVERYTHING from one system and input into ours. As it turned out, that was a feasible proposition and our engineers were able to build and implement the technology to make it work. Therefore, on day one of using a Prompt, clinics have all of the data that was present on their former system right where it needs to be on Prompt.
Training and Support
As expected, there are certain things along the transition process that we were not able to automate. That’s where our support and onboarding team members come into the fold. They handle everything that doesn’t HAVE to be completed by clinic management such as ERA and EDI enrollments.
On the training side, we benefit from having a system that is highly intuitive and easy to use. Regardless, we spend as much time as needed working with each clinic to make sure each staff member is ready to rock and roll and the go live date. We have found that most users require only about 1-2 hours of training to become proficient on Prompt.

Prompt was born out of a desire to help clinics become drastically more efficient. Getting everyone within a clinic on the same page was a huge part of that and the same holds true during the transition process. We use a very simple task management portal that acts as a checklist for the go live process. Owners can see what has been done as soon as we complete tasks, and are alerted when we need something from them. This ensures that nothing slips through the cracks and helps to avoid any confusion on either end.
Put simply, this all results in a drastically less stressful, hectic, and time-consuming process for owners. It has enabled us to accommodate almost any transition timeline – whether it’s a few days, or a few weeks. We know that software is a massive decision for any clinic and should never be taken lightly which is why we have spent so much time ensuring that the transition process is one less concern.
