Escudero Physical Therapy at AIM Sports Medicine is a four-provider practice in Hermosa Beach, California, that has been using Prompt since July of 2020. The company’s owner, Carina Escudero, chatted with us about their experience and touched on a few key topics:

What brought them to Prompt

During the first summer of the pandemic, Carina and the team at Escudero Physical Therapy were motivated to find ways of improving their business. They identified some of their biggest pain points, such as overly long and tedious documentation, and not having a firm grasp on operational metrics with the software they had been using.

As a main focus point, Carina searched for an effective dashboard solution that provided all the insights she was looking for to manage the business. The search lasted over a year, when a friend who had been using Prompt suggested they try it. Carina quickly realized that Prompt had everything they were looking for included, right off the shelf, and then made the leap.

During the onboarding and beyond, Carina says that customer support has been “amazing,” especially compared to her previous system, and the reliability and speed of replies gave a lot of added peace of mind for a clinic moving over all their data and adjusting to a new system.

Filling provider schedules for improved profitability and patient outcomes

Prompt’s reporting and actionable insights played a huge role in determining trends at Escudero Physical Therapy and areas for improvement, which has allowed them to manage expenses better and optimize scheduling and visit flows.

Two of the most-used Prompt features at the practice are the Plan of Care compliance tool and the Case Overview. These have played a huge role in not only understanding clinic performance but helping stay proactive to keep providers booked out and patients staying on target for their treatment goals.

“When we see that there are some openings on a PT’s schedule, we’ll look immediately at the Plan of Care compliance to see who we need to reach out to get them back on the schedule if they’re under-scheduled. And then I use Case Overview and have my providers use it on a regular basis to make sure we’re not losing patients, because that was always a struggle with our prior system,” Carina said.

Taking advantage of these reports and then following up with the right patients at the right time about rescheduling, often with handwritten letters, has helped the practice get patients who dropped off to reschedule and get back on their plans of care. The overall Proper Discharge Rate has reached around 52-54%, compared to the industry average of 30%. In just the past year, the clinic has boosted their provider capacity utilization from around 81% to 91%. And since implementing Prompt, Carina says overall revenue at the clinic has doubled, and they’re on pace for a continued 20% revenue growth per year.

Finding much-needed visibility into their practice

With the platform’s reporting and dashboard, it didn’t take long for Carina to finally see all the business data she had been hoping to get access to. As the clinic’s owner and a numbers person, their favorite features since onboarding are “for sure” the reports, which they use pretty much every day.

“Now I could see things that I wanted to see. And as I got more used to looking at reports and filtering them in the exact way I wanted to see them…it just made my life a lot easier on how I could see what was happening at my practice. The ability to break down reports from all angles of the operation has given Carina the type of visibility and strategic insight she never felt with their previous software. Carina personally analyzes these reports – such as units per visit billed to specific insurance companies – to prioritize what needs improving and communicate these goals with the staff.

This company oversight also helps the team bill more efficiently and accurately, such as conveniently making sure all the copays collected match what they should. As a provider, documentation features like the treatment tiles make life a lot easier by “making it a lot clearer to see what I’m actually doing with patients,” Carina says. And when it comes to coding, features like modifier notifications “make the whole procedure much simpler and much faster.”

“Why would you recommend Prompt to another clinic?”

For PT clinics looking for a comprehensive solution – that does the job of both an EMR and a practice management tool – Carina suggests Prompt as a way to not only effectively and more easily perform daily tasks across the clinic, but make the best strategic decisions possible on how to improve performance and grow the business.

“On the documentation and reporting side, it’s so much more clear than any system I’ve used in the past. It just makes my life as an owner monitoring my practice to be much easier, more accurate, and more data-driven rather than subjective.”

And on the provider side, Carina says that Prompt has made life easier and been a game-changer for job satisfaction, especially with the ease of documentation (and not taking notes home after work.) Using Prompt is also helping everyone on the team hit their goals faster and earn more bonuses.

“[Prompt is] definitely a selling point for provider satisfaction. We strive to keep our schedules very full, and we do quarterly bonuses based on this…because that’s where I know I’m going to be the most profitable. We’ve been hitting our numbers and everyone’s been getting quarterly bonuses because of it – and not just providers but the admins as well.”
