MAX Physical Therapy & Performance is a PT clinic based in Fremont, Illinois. Lisa Rimbo and her husband opened the practice together, but she doesn’t have the PT background that he has. She worked in corporate marketing, and joined the MAX team to do all the billing and run the administrative side of the practice.
When they were getting started, the MAX team went with another EMR, and “it was terrible,” Lisa said.
“I bought what I thought was one system that worked together, and what I ended up getting was an EMR and billing as two separate systems that really, if they talked at all, was minimal.”
As someone new to the PT space, Lisa didn’t have any billing experience, and having such a disjointed system made that experience all the more difficult. “I had a really hard time understanding how to make them work together. It was a disaster,” she said.
Six months after MAX PT opened, Lisa’s husband heard about Prompt from a former colleague. Since she had such a hard time getting accustomed to her first EMR, Lisa was hesitant to switch to another entirely new system, but after trying it out?

As a biller first, Lisa lives in the billing side of the software. And her favorite part, she says, is how interconnected everything is, allowing her to access everything she needs in one place.
When she’s looking at an EOB, for example, she can easily find all the patient’s insurance information, their member ID, their date of birth–everything she could need to process her claims efficiently.
“Everything is right there,” she said. “I’m not having to toggle between two very separate systems.”
Although Lisa isn’t using the clinical side of Prompt as much as her staff, “they all love it,” she said. “I think what we love most as a team is the ability to communicate between us.”
Within their clinic, and within Prompt, Lisa is able to quickly check in with their therapists to ask any questions about claims. “What I would have to do before is go and email someone and make a paper note for myself–I was living on pen and paper with separate files with this other software,” she said.
Now with Prompt, she’s able to tag her therapists directly on the claim to ask for any clarification she needs, leaving an electronic record of her question, and her therapists can quickly respond right there so she can fix and submit the claim. “And that equates to income, right? That’s revenue,” she said.
One of MAX PT’s biggest challenges with their old software was working with anyone who was on a workman’s comp case. “There were tons of limitations in terms of file sizes and things I was able to submit through our prior software. I’m experiencing none of that with Prompt,” she said.
Anyone who works with workman’s comp cases knows how much there is to keep track of–all the documents associated with a patient, keeping all the documents separated by case, keeping track of what’s been submitted, if it’s been accepted yet or not.
Lisa wasn’t able to track any of that efficiently in her prior software, leaving a huge gap in their business. “I was keeping a paper file of work comp cases where I created a spreadsheet of every date of service for every patient and the amount charged, and I had to go back and check off whether or not I had collected for those visits. I had no capabilities,” she said.
Without the right capabilities, it can be very easy to start doubting yourself, Lisa says. “Because I had no experience, I kept thinking it was me. But it wasn’t me, it was the software.”
And although Lisa doesn’t have the clinical background that a lot of clinic owners have, many people are still in the same situation that she was in.
“Most people who start a new practice are physical therapists themselves and their expertise is physical therapy, not billing or running a practice.
