Marino Physiotherapy cuts eval time down to 6 minutes with Prompt

Marino Physiotherapy is a 6-provider, single-location practice in Knoxville, Tennessee. Before Prompt, they were with a very large EMR whose customer service became unreliable. 

Owner Alaina Marino reports that they had issues with billing, getting responses from customer support, and making sure their claims were going out on time. “They weren’t little problems, they were costing-us-money problems,” she said.

Since switching to Prompt in April of 2024, Marino Physiotherapy has seen:

“As a physical therapist myself,” Alaina said, “my first priority is always, ‘If I were the physical therapist working in this clinic, how would this make my life easier?’” 

And one way Prompt has done this for Marino Physiotherapy is by reducing the amount of manual work and time their therapists have to spend on documentation each day. 

Why therapists love it

Using Prompt, the therapists are able to pull standardized phrases from their intake and patient demographics forms, making all their notes very thorough and customized to each patient without taking up a ton of time. 

Marino Physiotherapy has also taken advantage of the PredictionHealth integration within Prompt, which she says has been “fantastic” for them. Using the autoscribe feature, they’re able to create documentation without spending hours gathering and writing all the information. 

Typing what is essentially a SOAP note for her evals, which used to take her 26 to 28 minutes, is now taking her team only 4 to 6 minutes. 

“My PTs love it because they’re going home on time to spend time with their families, and they can actually spend the time with the patient, not the time with the computer,” Alaina said. 

Alaina also said her PTs love Prompt because it centralizes everything they need to do their jobs into one place. It’s easy for staff to communicate with leadership, each other, and with their patients. 

Freeing up front office staff’s time 

In addition to using automation and templates to save their therapists time, Marino Physiotherapy also recently implemented online scheduling to find the same time-savings for their front desk and admin staff. 

Online scheduling has also given them the best of both worlds for patients who prefer to speak to a person while also giving patients the options to self-service and schedule themselves.  

Their patients also love it, she said, because they can use the QR code or the online scheduler on the website to easily schedule their appointments for themselves at home, in the evenings, anytime they forget–“so it’s been a real time saver for us,” Alaina said. 

By enabling online scheduling for patients who prefer or need that option, Alaina’s front desk now has more time and focus to help patients who do prefer the in-person option, or other jobs around the clinic that need their attention.

Using tech to fight burnout 

As a clinician herself, Alaina is all too aware of how much clinicians have to balance on a daily basis. Part of the benefit of Prompt for her business is how it helps her encourage her staff to find work-life balance–and improve her own employee retention.

“One of my big points for my staff is work-life balance. So if you can take the documentation stuff and make it easy, it’s much easier to keep great staff,” she said. 

On top of that, she said, the number one reason she sees her competitors losing their PTs is work-life balance, and that’s something they don’t need to worry about as Prompt users. 

“Trying to do all the things you’re supposed to do and are responsible for as a clinician – keeping up with your patients, reaching out to people who might’ve fallen off the schedule, knowing what your numbers are that you’ve put into your own reports–we don’t have to do any of that any more. It’s already done for us in Prompt,” she said.  

Digging into the data

One of Alaina’s favorite features, as an owner, is Prompt’s reporting features. 

“Being able to look at our reports as a business owner has been fantastic for me,” she said. “I’m not spending my time doing that, making reports and digging out data. I can just see it in real time.”

“Then when I’m doing coaching sessions with my team members, they can look at their own numbers. They can easily see what their goals are, and where they need to start making some improvements.

It’s really given us a lot of guidance from a leadership perspective to be able to pull out that data and guide our team. Our team likes it. They can see it themselves. It’s not just this random number coming from above. They can look at their own numbers, they can see their own patient lists and what they’re responsible for,” Alaina said.
