Inspired Physiotherapy is a 9-provider physical therapy practice with 3 clinics in Tennessee. They opened their first clinic in 2023, and the clinic’s director of revenue cycle, Ricky Overton, wanted to set a strong foundation with an EMR that could grow with their ambitious goals.

“We were just starting out, and I wanted an EMR that was scalable, had automation, had new technology, and was willing to listen to clients’ suggestions,” he said. “And out of 17 different EMRs I looked at, I picked Prompt.”

The search for the perfect EMR

Although Prompt is the first and only EMR that Inspired Physiotherapy has used, Ricky himself has used other EMRs at other companies, and he knew he didn’t want to switch EMRs down the road; he wanted to get his choice right from the beginning.

After evaluating his options, Prompt’s features stood out as being able to scale with Inspired as they continue to grow.

Sealing the deal with automation

Having the ability to implement automation across every aspect of the business was a huge priority for Ricky.

“Automation was one of the biggest reasons I picked Prompt, the ease of note-taking for the therapists,” Ricky said. “I figured out that it cut about 15 minutes out of their note-taking time, with the templates and how easy it is to use. So that was a huge determining factor for us to have Prompt.”

Since Prompt is Inspired Physiotherapy’s first EMR, they didn’t have past successes or mistakes to compare to, but Ricky did have a standard he wanted to uphold right from the beginning.

“I wanted to have 95% or better clean claims. And the rules that you can set up in Prompt have helped us eliminate denials. So we’re actually running at 97% clean claims,” he said.  

Growing without growing pains

As a relatively young practice, Inspired Physiotherapy wanted to make sure that the EMR they chose would not only easily scale with them, but would also give them the tools they needed to grow.

One way Prompt has been able to do this is by helping Ricky and his team be more efficient. Their revenue cycle team right now is three people, without an immediate need for any more.

“The Prompt automations keep our revenue cycle lean and mean. And as we grow, with all the automations, we don’t have to fill multiple positions in the back end. It keeps our costs down. It means less people on the back end and we can be more efficient,” Ricky said

Technology that supports revenue growth

As director of revenue cycle, one of Ricky’s biggest priorities is to make sure that the clinic has the tools necessary to meet their financial goals. Some of Prompt’s features, like sending electronic statements to patients, help him do this.

“We collect 95% of payments upfront now, but when our patients do have a balance, it’s an average of $4. We do a text message reminder first, and in 15 days if we don’t have payment we do an email, and then at 35 days I do a mailed invoice,” Ricky said. “So right now, out of probably 300 patients we’re treating, only 25 have an outstanding balance.”

In addition to making patient communications easy, Prompt also helps Inspired’s staff streamline their day-to-day work–which not only makes their jobs easier and helps fight burnout, but also contributes to the clinic’s bottom line.

“On Prompt, we’re getting claims out the same day. Our therapists close their notes, we do our reviews, we knock it out, it goes out,” he said.

The support that makes a difference

As a young clinic just getting started, having a support team available and ready to listen to their customers was high on Ricky’s list. And Prompt fits the bill.

“You have a success manager that’s there to help you. We’re at almost two years with Prompt and ours still checks on us. So just that experience and having that support makes a huge difference,” Ricky said.

Whether it’s a larger question or something as simple as updating a setting in Prompt, Ricky said the customer experience has been a big differentiating factor in choosing–and staying–with Prompt.

“We email the customer support team all the time, and the turnaround time is like an hour. On some things it’s minutes. No one else offers that,” he said.
