Gyn Stackhouse is the chief administrative officer at Rehab 2 Perform. Her role is to be the bridge between the clerical, clinical, and billing departments in the clinic. She was the administrative driver behind Rehab 2 Perform’s switch to Prompt, and since switching, they’ve been able to:
Though each team has benefited from Prompt’s features, Gyn said the biggest shift is that “Prompt has helped us achieve more connectivity for all our departments.”
Each team has different areas of Prompt that they use the most, but the entire software working together is what has enabled them to grow.
“Prompt is great at providing that dashboard space for clinicians to understand,” Gyn said. Having that dashboard in a centralized location enables operational efficiency across every aspect of their business.
“Clinicians are able to understand eligibility standpoints, visit counts, scripts, which also counts for our front side, so the front has less work to do,” she said.
Any patient information that the front desk enters, like how many visits a patient is authorized for and for what dates, is easily accessible for the clinicians–which in turn makes their note-taking easier. And as a result, all of that makes claim processing easier to make sure that those claims flow quickly.
On the billing side, Gyn said, “Prompt has helped us achieve quicker reimbursement.” Depending on the payer and their response time, Rehab 2 Perform has gone from reimbursements taking between 30-45 days down to 5-10.
Part of this is because average days to submission has gone down since being on Prompt–claims are submitted in around 3 days–but another part is that Prompt has helped them reduce their denials.
“Prompt’s dashboard helps us get paid sooner,” Gyn said. “It’s a lot easier for clinicians to have an eye on their discharges, lost patient logs, patients who are engaging and those who have not engaged.”
All these different parts of Prompt–the reporting, the note-taking, the claim submission–could help drive this efficiency on their own. But it’s all departments working together that allows them to see these results.
As chief administrative officer, Gyn has her eye on all areas of the business to make sure everything is operating as it should be.
With Prompt’s reporting capabilities and dashboard, “I don’t have to do as many manual calculations,” she said. “I can easily go into the reporting side and pull my operations report to show me what my visits are averaging, how many IEs I’ve gotten.”
Aside from crucial insights she needs to do her job, Prompt’s reporting helps their front desk do the same. The front desk staff is now able to understand how many visits in a particular area, like Tricare or Medicare, are scheduled in a week, and where there are gaps in the schedule that need to be filled.
Making a switch to Prompt benefits practices on multiple fronts. From the self sufficiency that it gives not only to the patients, but the self sufficiency it gives your clinical and clerical staff.
“Making the switch to Prompt would definitely benefit practices on a lot of layers,” she said. “Being able to see what your clinical staff is actually doing, and what your clerical staff is able to provide to your patients; it all saves them time, and lets them get into the quality care that they need.”
Rehab 2 Perform's success story demonstrates how department interconnectivity can drive efficiency, streamline operations, and accelerate growth. With Prompt, they've reduced reimbursement times, improved claims submission processes, and enabled their staff to focus on delivering quality patient care.
