Rehab 2 Perform modernizes their practice with Prompt, boosting clinic efficiency and patient access to care

Rehab 2 Perform is a 63-provider practice with 10 locations in Maryland and Virginia. Since switching to Prompt, they’ve modernized their practice, increased workflow efficiency, and reduced barriers for their patients to access care.

Modernizing their practice with Prompt

Before switching to Prompt, Rehab 2 Perform was relying largely on people to set up systems to increase their efficiency. 

Now, running their practice on Prompt has allowed them to become a tech-enabled company, relying more on technology, hardware, and automation. This, Josh said, has created a “much more seamless and efficient workflow” overall. 

“Efficiency is a word that comes to mind when I think of what Prompt has done for our team,” Josh said. 

Improving admin to provider ratios

That sense of efficiency has impacted every area of the Rehab 2 Perform clinic. As a result of some of the automations and task flows enabled by Prompt, Rehab 2 Perform has been able to reduce the overall workload for their front office staff, and grow more efficiently by allocating staff where it’s needed the most. 

As they’ve grown, Rehab 2 Perform has adjusted their staffing ratios to have 1 admin role for every 4 or 5 clinicians, down from 2 admins for those same clinicians. 

This shift has enabled Rehab 2 Perform to increase what they can pay clinicians, allowing them to “be able to compete more with regards to the wage increases required for PTs,” Josh said. 

Increasing access with online scheduling 

Think about it, Josh said: “When a patient is calling an office to potentially schedule, they’re ready to complete that task at that given moment. They don’t want a voicemail back. They don’t want to play phone tag. They don’t want to wait around – and that can be the difference maker between your business getting that new patient or them going somewhere else.” 

Across all industries, patients want the ability to schedule their appointments online without talking to anyone, and that’s true for physical therapy, too. By enabling online scheduling for their clinic, Rehab 2 Perform was able to schedule around 4,000 visits in a month entirely online. 

From a patient experience perspective, Josh said, this has been huge. “If you’re an individual, you have discomfort, you had a recent surgery, you have a need for PT, you’re able to know that you’re taking that off of your plate immediately when you go in and have the ability to schedule for yourself.” 

Aside from the improved patient experience of online scheduling, this makes things easier for your front office staff as well. Now instead of calling patients, calling patients back, and following up on scheduled appointments, your front office can spend their time on other work or on greeting patients as they come in. 

Reducing therapist workload

For the clinicians at Rehab 2 Perform, the biggest benefit of Prompt has been that it’s now easier to get initial evaluations and follow up notes done. 

Using Prompt for documentation has led to fewer missed notes and fewer notes that need to be checked on or fixed throughout the course of the week, reducing the burden for leaders and supervisors. 

“It really allows us to be in a situation where we get to focus on what we really want to focus on, which is patient care,” Josh said.
