Onondaga Physical Therapy is an 8-location, 30-provider physical therapy practice in upstate New York.

When their previous EMR got sold, it made owner Lauris Rigdon nervous about the future of that software, which prompted him to start the search for a new EMR.

At the end of the day, he said, they chose Prompt for a lot of reasons, but the biggest one was the relationship he felt with the Prompt team. “There are so many great features and integrations that they offer. But the biggest thing that made me make that decision was the relationship we had,” Lauris said.

Building a true technology partnership

According to Lauris, working with Prompt quickly went from just evaluating a software vendor to forming a true partnership. “The partnership with Prompt is really different than what I’ve had with any other vendor,” he said. “They were really there to support us and help us be successful.”

“They give me updates on features that are coming and offer us the opportunity to give feedback on how those features are implemented,” he said. “So I think we get a lot of input on the direction Prompt is taking and how they’re going to continue to improve their software for the future.”

Transforming business operations with data-driven decision-making

Aside from keeping Lauris and his practice in the loop about feature updates, Lauris said Prompt has also had a huge influence on how they run their business.

“Prompt has really helped us make good decisions for our practice because they have so much data to look at,” he said. “They were really instrumental in us transitioning to 40-minute treatment sessions. We did that a year and a half ago and it was by far the best decision we’ve made.”

By making this switch to 40-minute treatment sessions, Onondaga PT has been able to increase the number of appointments they have booked, with their arrived capacity rates sometimes exceeding 90%.

“That’s been the biggest change that Prompt’s helped me make that’s allowed us to be successful,” he said.

Streamlining operations with key features

In addition to the investment and partnership Lauris felt from the Prompt team, he said another key reason they ended up going with Prompt was for the plan of care compliance, which automatically messages underbooked patients and provides a link they can use to book multiple visits.

“In our market of upstate New York where reimbursement is so challenging, having our schedule full is a major priority for us. So we love plan of care compliance for that,” Lauris said.

Another feature that Onondaga’s staff and patients both love is the online scheduling. “It’s helped reduce the amount of time our staff has to spend on the phone or in person scheduling appointments,” he said.

With that saved time, patients are able to get the care they need sooner, and Onondaga’s staff can spend their time working on other, higher impact areas in the clinic.

Ensuring a smooth transition

Every PT clinic probably knows how daunting it can be to switch to a new EMR, no matter which one you go to, and Onondaga switching to Prompt was no exception. “It’s always going to be hard, because it’s new,” Lauris said.

That said, their transition to Prompt was as smooth as it could have been, because of the onboarding process and Prompt University.

“Prompt University set us up to be successful. But in addition to that, we had access as soon as we signed our contract. So we could login to the actual version of Prompt that we were going to be using; we got to get familiar with it and comfortable with it.”
